First things first – your privacy is important to us. We take your trust in Narts Britain very seriously and are committed to protecting and safeguarding your personal data. This document has been prepared to allow our customers and partners a transparent understanding of how we gather, store and process data. The prime purpose of collecting your data is to book you on a course and provide post-course customer service, assist with licence application and offer job opportunities. The data we collect allows us to notify and update you whenever necessary. This Privacy Statement (the ‘Statement’) explains the personal information we collect from you, either directly or indirectly, and how we will use it. Personal information is any information that can be used to identify you or that we can link to you. The Statement also elaborates on the choices you can make about the data we collect, and how you can control these decisions. It applies to all services offered by Narts Food & Leisure (‘Narts Britain Services’). It also applies to any Narts Britain owned and operated websites, as well as other offline interactions, such as visiting or attending an event organised by Narts Britain (collectively referred to as, ‘Services’). Please read this Statement carefully to understand how Narts Britain may collect, use and share your personal information. The terms ‘we’, ‘us’, or ‘Narts Britain’ are each intended as a reference to Narts Food & Leisure Limited.

We protect data obtained from third parties according to the practices described in this Statement, and we also apply any additional restrictions imposed by the source of data.

Narts Britain does not target and is not intended to attract children under the age of sixteen. All Narts Britain’s courses can only be attended by adults aged 18 or over. Although visitors of all ages may navigate through our websites or use our app, we do not knowingly collect or request personal information from those under the age of sixteen without parental consent. If, following a notification from a parent, guardian or discovery by other means, a child under sixteen has been improperly registered on our site by using false information, we will cancel the child’s account/booking and delete the child’s personal information from our records.

To make the information in this Statement easy to understand, we have highlighted different occasions when Narts Britain could potentially collect personal information from customers. The customer interactions with Narts Britain are broken down into the following segments: Course Information As you gather more information about Narts Britain, you may virtually or physically visit a site that we own. Examples include browsing our website, calling our sales representatives or customer support, physically visiting a Narts Britain-owned site, or attending Narts Britain events. To learn more about courses, you may voluntarily provide personal information, such as your name and email address during these interactions. We may also collect information about you online via cookies or similar technologies when you visit our websites. We collect name, email address, IP address, and information provided by cookies or similar technology. Why: We use this information to share training course information and course dates. Additionally, the IP address helps us to understand geographic information about our website visitors better, so that we can improve our website for everyone. It is our legitimate interest to process your personal data for these purposes. Course Booking Once you have decided to book a course, we offer a way for customers to book directly from us at narts.org.uk or any Narts Britain affiliates. When you book from us, you may be asked to provide information so that we can complete your transaction. We collect your name, phone number, email address, delivery/shipping address, and payment information. We may also request you to provide us with your ID documents and address proof for specific licence-linked courses if required by the training provider to help them meet the regulatory requirements. Why: We use this information to complete your transaction, carry out any follow up with you about your booking, help with any questions, and other issues related to the training course. Processing your personal data for this purpose is necessary for the performance of the agreement we have with you. Please note, we do not store any payment or credit card information. We only use payment information in connection with the booking process. Licence Application We may also request you to provide us with your ID documents and address proof to process your licence application with your local council. Why: We use this information to complete your DBS check and process your personal licence application. BS7858 Screening We collect your name, phone number, email address, employment history and ID Documents using Lexis Nexis IDU and carry out a credit check to complete your BS7858 screening and create your Security Worker Passport. Why: We use this information to complete your BS7858 screening process. Job Offer. We collect your name, phone number, email address, driving licence and bank account details. Why: We use this information to match you with temporary and permanent job openings and pay you. Using Narts Britain Services There are four main reasons we collect information from you:

  1. To book you on a course of your choice.
  2. Notify you of changes, cancellations and other changes
  3. Assistance with Licence Application
  4. Offer permanent or temporary work.

Functional Data: This data is necessary to book you on the relevant course of your choice or to enable you to use a Narts Britain as a booking agent and or / staffing agency. You will not be able to opt-out from this data collection, sharing and processing if you want to make a course booking. We collect name, email address, phone number, gender, delivery/shipping address, course details of your selection, driving licence. We may also request you to provide us with your ID documents and address proof if required by the training provider to help them meet the regulatory requirements. Why we collect Functional Data: We collect this information to book you on the training course of your selection, provide post-course customer service, notify you when there are updates about your course (example change of course location, cancellation of a course, publication of your course results etc.), process your licence application, and provide you with job opportunities. We also collect this information to guide product improvement and customer support decisions, which is our legitimate interest. Getting Help from Narts Britain From time to time, you may decide to contact our Customer Service Team for assistance with any of our services. To be able to offer you the best service possible, we may collect specific data from you to help you provide better service. We collect: This may include contact information, such as your name, email address, phone number, social media identifiers (if you contact us using a social media channel), and the content of your chats and other communications with Customer Service Team (including voice recording if you call Customer Service Team). Collecting the above-described information is necessary to provide customer support. Why: We collect this information to give you the best and most efficient customer support possible. For instance, for customer inquiries, we use contact information to respond to the customer in their preferred channel (phone, email, social). Narts Britain uses the data we collect to provide you with the services we offer, which includes using data to improve and personalise your experiences. We also use the data to communicate with you, for example, informing you about your course, job offers or services available, security and other types of updates.

Narts Britain uses the data for the following purposes: Product Experience: We use data to provide, support, operate and improve your experience with the Narts Britain Service you choose to use. This processing is necessary for the performance of the agreement we have with you. Customer Support: We use data to respond to customer enquiries and requests. This processing is necessary for the performance of the agreement we have with you. Product Improvement: We continually use data for research purposes and to develop and improve our Narts Britain Services, including maintaining and enhancing the performance of our Narts Britain Services, developing and adding new features or capabilities, such as using error reports to improve security features, using search queries and clicks to improve the relevance of search results and using usage data to determine what new features to prioritise. This processing is necessary to serve our legitimate interest. Security, Safety and Dispute Resolution: We use data to protect the security and safety of our Narts Britain Products and our customers, to detect and prevent fraud, to resolve disputes and enforce our agreements. This processing is necessary to serve our legitimate interest. Business Operations: We use data to develop aggregate analysis and business intelligence that enable us to operate, protect, make informed decisions, and report on the performance of our business. This processing is necessary to serve our legitimate interest. Communication, Marketing and Advertising: We use the data we collect to deliver and personalise our communications with you. For example, we may contact you by email or other means of electronic communication to inform you about new Narts Britain Services, update you on a support issue, invite you to take part in a survey. This processing is necessary to serve our legitimate interest.

Narts Britain does not and will not sell personal information about our customers. We only disclose your data, as described in this Statement. We may share information with the following types of third parties. Third-Party Vendors: Narts Britain uses a variety of third-party vendors to carry out services like website management and hosting, shipping, credit card processing and email communications to complete a transaction, provide a Product or Service you have requested or authorised and only with vendors or agents working on our behalf for the purposes described in this Statement. In this case, your personal information will be shared with these agents or contractors but only to perform services on behalf of Narts Britain and under this Statement. We only share your personal data as necessary, and we will only work with third parties who have signed a Data Use Agreement with us that commits them to proper practice where Data Protection and Privacy are concerned. For questions about third-party vendors, please send an email [email protected] Training Providers: Narts Britain will share your data with the provider of your course. This is necessary for administrative and record keeping purposes, i.e. your course registration, exam registration and course attendance. Awarding Organisations: Narts Britain will share your personal data with relevant Awarding Organisations. This is necessary for your course registration, exam registration and any error corrections. Employers: Narts Britain will share your data with potential employers based on your preferences. Compelled Disclosure: When legally required, strictly necessary for the performance of the services or to protect our rights, or the rights of our affiliates or users, we disclose your personal information to law enforcement authorities, investigative organisations, our affiliates or in legal proceedings. International transfers Transferring information outside the EU Although all data is stored and held on secure servers within the UK, some of your personal data may be processed offshore by our offshore staff in India and Pakistan to manage our back-office services. Your personal data receives the same level of protection when accessed offshore as it does onshore, and the data is not stored outside of the UK, and is only accessible from within Narts Britain’s secure IT environment. This protection is delivered by the use of standard data protection clauses adopted by the European Commission, and used in their entirety in the contract with our offshore employees. A copy of the model contract clauses are published on the Commission website. Narts Britain shares personal information within the wider Narts Britain group of entities situated both within and outside the EU. We do this under a data sharing agreement that includes the appropriate EU model international data transfer clauses to make sure your personal information is protected, no matter which entity in the Narts Britain group holds that information. Where Narts Britain makes transfers of personal information outside the Narts Britain Group to another organisation we rely on the use of the EU model international data transfer clauses where the country the organisation is situated in is not listed as ‘adequate’ by the European Commission.

There are different legal bases that we rely on to use your personal information, namely: Performance of a contract: The use of your personal information may be necessary to perform the agreement you have with us. For example, to complete your course booking, carry out BS7858 screening, process licence application and /or offer matching jobs and maintain your account, to help with delivery issues, to handle returns, update you on the progress of your course results and to provide support. Legal Obligations: Where relevant, we may retain your personal information in order to comply with various legal or statutory requirements, for example we keep information about our employees because it is a legal requirement to do so. Vital Interests: We may keep information on an individual’s health status, only where it is relevant, in order to protect their vital interests. For example, if an employee had a severe allergy where this information can be used to make sure they can work in a safe environment.  

Security Narts Britain is committed to protecting the security of your personal information. However, while we take reasonable precautions to guard the personal information collect, no security system is impenetrable. While no Service is completely secure, Narts Britain takes precautionary measures to help prevent information about you from loss, theft, misuse and unauthorised access, disclosure, alteration and destruction. We also ensure that our third-party data centre vendors provide adequate security measures. Additionally, your data is protected with encryption, such as SSL, during transition over the Internet. Storage Personal data collected by Narts Britain may be stored and processed in your region, in the United States (for example, in data centres where we host our data), or in any other country where Narts Britain or its affiliates, subsidiaries or service providers are located or maintain facilities. Retention Narts Britain will retain your personal information for as long as we deem it necessary to enable you to use the website and your Narts Britain Services, to provide services to you, to comply with applicable laws (including those regarding document retention), resolve disputes with any parties and otherwise as necessary to allow us to conduct our business. All personal information we retain will be subject to this Privacy Statement and our internal retention guidelines. We use cookies and similar technologies like pixels, tags, web beacons, and other identifiers to help us personalise our website for you, remember your preferences, understand how users are using our website or app, and help customise our marketing offerings. Cookies A cookie is a small data file containing a string of characters that is sent to your computer when you visit a website. When you revisit the website, the cookie allows that site to recognise your browser. The length of time a cookie will stay on your computer or mobile device depends on whether it is a “persistent” or “session” cookie. Narts Britain uses both types of cookies.
